About the Role

We are seeking an enthusiastic and motivated individual to serve as an Accounts and Administrative Coordinator to support the successful implementation of Adara’s programmes in Humla. This position is based in Humla and is responsible for ensuring effective financial and administrative coordination of Adara Development Nepal’s operations in Humla

Location: Humla, Nepal (Full time-Humla Based)

Employment status: Full-time, Fixed Term Contract

Reports to: Head of Finance and Operation

Key responsibilities

Support for Adara Development and Head of Finance/Operations

  • Establish and implement financial procedures in alignment with the organization’s financial policies and donor requirements.
  • Preparation of Journal voucher, data entry in accounting software and ensure timely and accurate recording of all financial transactions in compliance with organizational and donor standards.
  • Work full-time from Humla to oversee project activities and monitor fund management.
  • Maintain comprehensive and up-to-date financial records and supporting documentation for all transactions.
  • Support the development and monitoring of project budgets in collaboration with program teams.
  • Manage and monitor petty cash and bank balances to ensure sufficient funds are available to meet programmatic needs.
  • Manage and reconcile bank and cash accounts, ensuring accountability, accuracy, and proper documentation of all financial records.
  • Process staff advances and other advances/payables and maintain accurate tracking and reconciliation.
  • Process payroll, as directed by the Head of Finance
  • Ensure full compliance with national tax laws and regulatory requirements, including the timely payment of taxes and statutory obligations.
  • Provide general administrative, correspondence, logistic management and clerical support as directed.
  • Maintain accurate records of materials received and issued, update stock registers regularly, report monthly stock balances, and issue materials based on authorized requests.
  • Maintain accurate records and proper safeguarding of assets, stocks, leases, contracts, and other administrative documents.
  • Monitor and maintain staff leave records in the accounting/HR system, ensuring accuracy of leave balances and compliance with organizational policies.
  • Assist and support Humla visitors as required.
  • Coordinate and supervise the duty of the staff under your control.
  • Maintain the confidentiality and integrity of all financial and organizational information.

Reporting and Compliance

  • Prepare monthly, reports including Balance Sheet and Profit and Loss.
  • Prepare Budget vs. Actual expenditure reports on a monthly, basis.
  • Prepare fund requests in alignment with the approved activity calendar for review by KTM office
  • Support in preparation of annual budgets in collaboration with program teams.

Governance and Compliance

  • Ensure that all the liabilities of Adara Development Nepal’s Humla operations and its partner organisations towards taxes and duties are paid on time
  • Keep up to date with relevant accounting standards and tax regulations in Nepal
  • Oversee and ensure all relevant government reporting requirements are adhered to and filed by deadline dates
  • Support the timely completion of the annual audit and oversee the audit process for all Adara projects and partner organizations in Humla
  • Assist in the preparation of financial reports and budgets for Adara project agreement and SWC evaluation and ensure all the compliances are fully met
  • Coordinate with NGO partners, government authorities, and work closely with the Head of Finance & Operations (Nepal – KTM) on finance-related matters.
About you
  • Minimum Bachelor’s in Business Administration (BBA) or business studies or related field
  • Minimum of 3 years practical work experience in related INGO/NGO or company. (Essential)
  • Working knowledge of appropriate computer MS Excel and accounting software, particularly Microsoft Dynamics 365 Business Central (preferable)
  • Fluency in English and Nepali (written and spoken)
  • Willingness to work in remote place like Humla district.
